Simple steps for officers and supervisors to find menus, handle vacation requests, call in sick, manage rosters, review coverage, and print the day's staffing plan.
Menu names may vary by agency setup and user role. If you do not see a button shown here, your account may not have that permission.
Pick the section that matches what you need to do
Vacation, sick calls, calendar, and Pay Jobs
Officers usually need five things: request vacation, report sick time, check the status of requests already submitted, view the day calendar, and open Pay Jobs. Always follow your agency policy for phone calls or notifications outside the application.
Request vacation
Important before you submit
You must request vacation only for days you are scheduled to work, and you must choose the correct shift length. If either one is wrong, the system may show an error and stop the request from submitting.
Click Request Time Off.
After you sign in and reach the main dashboard, choose Request Time Off.
Choose one day or multiple days.
For one day, select the work day you want off. For multiple days, select the first work day and the last work day of the vacation.
Only select days you are scheduled to work.
Do not include your regular days off. If you select a day you are not working, the system may give you an error.
Enter your work hours.
Select the correct number of hours for your shift. For this example, choose 11.25 hours. The wrong shift length may also cause an error.
Click Submit.
Wait for the confirmation message. Then check My Requests to make sure the request was saved.
Call in sick
Select Sick Leave
Choose Sick Leave from the Request Time Off page.
Confirm the date and hours.
Add a note or location if your agency requires one.
Submit and follow policy.
Sick leave is automatically approved. If your agency requires a phone call, make sure to follow up with that call after submitting your sick leave request.
Use this section after a request is saved to check status, cancel while pending, or confirm the final decision.
View your vacation requests
Click My Requests.
Use My Requests to see the vacation requests you already submitted.
Check your pending requests.
Pending means the request was sent, but a squad commander has not made a decision yet.
Cancel before a decision is made.
If the request is still pending, you can cancel it before it is approved, waitlisted, or denied.
Review the final decision.
After the squad commander makes a decision, My Requests will show whether the request was approved or waitlisted.
The calendar helps officers review a specific date and open Day View for roster details.
Calendar View
Click View My Calendar.
From the dashboard, choose View My Calendar.
Select the day you want to see.
Pick the date you want to review from the calendar.
Review Day View.
Day View shows the up-to-date roster, including who is available, who is off, who is waitlisted, and which assets are available that day.
Use this handoff when an officer needs to leave G3 and continue into Xtra Duty.
View Pay Jobs
Click the Pay Jobs button.
From the dashboard, choose the Pay Jobs button.
Go to Xtra Duty.
The button takes you to the Xtra Duty sign-in page.
Sign in and continue.
You know what to do from here right? Sign in to Xtra Duty and view your Pay Jobs options.
Approvals, waitlists, and roster control
Supervisors use the application to review requests, keep the roster accurate, and spot staffing problems early. Make one change at a time and save before moving to the next task.
Approve or waitlist vacation requests
Open Approval Request Time Off
From the main menu click Approval Request Time Off.
View the request.
Review the officer, date, shift, staffing impact, and any notes.
Choose Approve or Waitlist.
Approve when staffing allows. Use Waitlist when the request should stay in line but cannot be approved yet. Follow your agency policy for staffing decisions.
Save the decision.
Look for the confirmation message before leaving the page.
Use this workflow to read staffing counts, check officer status, and make roster edits for a selected day.
Read and edit the roster
Open Roster.
Each tab shows the number of officers with that skill, plus available and unavailable counts.
Use the legend to read status.
Check each officer's name, assignment, partner, status, and notes.
Edit Roster.
Click and drag officers to different zones. The officer gets an email notification when they are moved to a new zone.
Use pairing when two officers need to show the same assignment or partner relationship on the roster.
Pair up officers
Select the first officer.
Open the officer card or row from the roster.
Choose Pair or Partner.
Select the second officer from the list.
Save and check the roster.
Both officers should show the same assignment or pairing mark.
Coverage gap graph, officer status, and printing
The coverage gap graph is a quick warning tool. It helps supervisors see where staffing meets the requirement and where a shift may be short.
Read the coverage graph.
Each bar shows coverage for a time, unit, or assignment. The dashed line represents the minimum staffing target.
Look for warning colors.
Green means coverage is healthy. Yellow means watch it. Red means the roster may be below the needed level.
Open the gap details.
Click or tap a bar to see which officers, assignments, or times are causing the shortage.
This section is more administrative. Use it for officer status changes, adding skills, transferring officers, and printing the roster.
Change an officer's daily status
From the main menu, scroll down to Admin Tools and click Select Day Status.
Use the correct date and shift before making the change.
Set Status.
Choose the officer, set the start date and end date and select the new status. Use the notes field to explain the reason for the change.
Apply.
Ensure all information is correct before applying the change. The platform will show you the number of days that will be affected and the new status for each day. After applying, the officer will get an email notification about the change.
Use this workflow when a user needs to move from one squad or unit to another.
Transfer users from squad to squad
Open User Provisioning.
From the main menu, scroll to Admin Tools and click User Provisioning.
Find the user.
Click on Directory and search for the officer or user you need to transfer, click on the three dots and click edit.
Click Transfer Unit.
Select the squad the user should move to. The user will be transferred immediately on the day of the transfer. If the user is promoted assign a supervisor role, if the user is just being laterally transferred keep the role as officer.
Update your roster.
When you click transfer, the user will be transferred to the new unit. You will lose access to the user and their roster information, so make sure to update your roster and coverage information after the transfer.
Printing uses the same date-specific roster view you opened earlier.
Print the roster
Print the roster.
To print the roster, repeat the steps to open a specific date and click Print Roster in the top right corner.
Quick help checklist
- Check that you are viewing the correct date, shift, squad, or unit.
- Refresh the page if a saved change does not appear right away.
- Look for a confirmation message after submitting, approving, or saving.
- Ask a supervisor if you do not see a menu or button you expected.
- Follow agency policy for urgent sick calls or staffing changes.
Recommended first-week practice
During rollout, have officers practice submitting one test vacation request and have supervisors practice approving, waitlisting, moving an officer, changing status, and printing a sample roster.
